EMBRACE THE SPACE - Terms & Conditions for BOOKINGS
Miscellaneous
The first named party to the agreement must be over the age of 18. The signatory to the agreement accepts all terms & conditions (including the additional Covid-19 T&Cs) on behalf of the other occupants.
The person named on the booking must be staying in the accommodation & not booking for a third party.
This contract is for a short-term holiday let only.
By continuing with the booking & paying the deposit this contract becomes effective & we assume you have read all information fully & agree to our terms & conditions (including the additional Covid-19 T&Cs - please email us at embracethespace@outlook.com to see a copy of these).
If unable to sign the T&Cs, simply returning them by email means that both T&Cs are agreed to in full.
Reservations
Once a reservation has been made the relevant accommodation will be held for up to 7 days. For last-minute bookings accommodation will be held for 48 hours.
Payments & Cancellations
A deposit of 25% will be required at the time of booking to be received by us within 7 days of your booking. This deposit is non-refundable. For last minute bookings payment is to be received, in full, within 48 hours. Payment is by bank transfer.
A damage deposit of £200 MAY BE required when the remainder of your balance is due. This will be returned within 7 days of your departure (minus any breakages or damage costs) once the dome/hut/facilities have been checked.
Payment in full (including the damage deposit) will be required 60 days before arrival.
You are advised to take out appropriate travel insurance to cover any cancellations (due to weather/illness etc.) made by yourself & for any other needs.
In the event that the UK/Welsh Government should impose any further Covid-19 travel restrictions any monies paid are not refundable. We will transfer your stay to suitable alternative dates or issue a credit note to be used within one year of your original stay.
We are unable to refund any monies paid in the event of a Force Majeure.
In the event of a no show or booking reduction (on or after arrival date) the full cost of the booking is charged.
Please put all cancellations in writing. In the event of a cancellation by yourself, we will endeavour to re-rent out your accommodation. If successful, an administration fee of £25 will apply. If we are unsuccessful then the following charges will apply:
​Less than 45 days prior to arrival date – 100% of full cost
Between 46 – 60 days prior to arrival – 50% of full cost
In the unlikely event that we have no alternative but to cancel your booking due to an unavoidable personal site problem (excluding Covid related cancellations), a full refund will be offered – or alternative dates if suitable & available, however, if you request us to do so we will make every reasonable effort to find alternative accommodation of a similar nature & price.
Arrivals, Departures & Contact
After 7pm, we are available on site for emergencies & arrivals only.
The earliest time of arrival, for direct bookings only, is 3.30pm & the latest time for departure is 10.30am - please keep us up to date with your arrival time. Any check outs, not agreed, after 10.30am will be subject to a late departure fee.
No more than your stated occupants (on the original booking form completed) are permitted in the accommodations. If this is not adhered to, we reserve the right to refuse entry to the accommodation or ask you to leave & you will forfeit 100% of payment made.
Safeguarding
There is a carbon monoxide alarm, fire extinguisher & fire blanket in the YURTS, Please ensure children do not touch these & let us know if there is a problem with them or the batteries need replacing.
Smoking or vaping is not permitted in the accommodations or any of the communal areas. Please dispose of cigarette butts in the buckets provided. If guests have smoked in any buildings on our site, we reserve the right to charge for additional cleaning to eliminate the smell of smoke.
It is important you read our wood burner & fire safety instructions when you arrive on site – keep candles in lanterns/holders etc: no open flames anywhere on site, apart from in firepits & candle holders provided.
The play equipment on site has been put there for our own children’s use. Your children are very welcome to use it, but at your & their own risk.
In the case of an emergency, fault or problem guests must allow the owners or their agent access to the accommodation if necessary.
Please be aware that whilst EMBRACE THEN SPACE has lawned areas, it is also a lovely, natural site situated in the countryside, therefore we do have stinging nettles, muddy patches (our wooded copse can be a bit boggy), brambles, insects, including midges, & a pond on site (which is fenced around the front only) so please ensure children are supervised by an adult at all times.
The Site
In addition to EMBRACE THE SPACE being a natural site, we do have a farm nearby, & so the usual farm noises can be heard from time to time.
Under no circumstances do we accept dogs WITHOUT PRIOR AUTHORISATION
Noise & Damages
In the interest of other guests, please ensure that no one in your party does anything to cause a nuisance to other guests. We ask that children do not go into the play areas between 9pm & 8.30am the next day.
We have a no loud noise policy after 11pm.
If unreasonably noisy or unruly behaviour is brought to our notice, we reserve the right to ask you to leave & forfeit the remainder of your payment.
The Accommodations, their furnishings & equipment will be handed over to you clean & in good order & should be in similarly clean & in good order when you leave.
Please take off outdoor footwear in the YURTS & when showering – we like to leave the outdoors outside & try to keep things as nice as possible for all guests staying in our accommodation.
Should any breakages or damage occur, please let us know (we do not charge for small items but will look to you to replace certain items &/or repair damage).
Please wash & dry any dishes used in the camp kitchen as soon as possible to enable other guests can use them.
If you do wear fake tan, please bring your own bedding to avoid bedding being permanently stained.

Please let us know, whilst you are here, if anything on site does not work or if there is anything you are unhappy with. We want you to have a lovely, relaxing, inspiring holiday & we welcome the opportunity to put things right, if need be, during your stay.
